Practice Manager

Married Life Counseling is a growing, relationship-centered counseling practice serving couples, individuals, and families. They are seeking a Practice Manager who will oversee daily operations, manage administrative tasks, and support the team to ensure a welcoming and organized environment. Responsibilities "Own" the daily operations of the practice and office environment Maintain welcoming, orderly office spaces (organization, supplies, hospitality details) Coordinate light cleaning logistics and communicate with cleaning staff Manage office systems (music, décor updates, plants, supplies, routines) Ensure consistency with schedules, checklists, and recurring responsibilities Monitor and manage calendars for clinicians and admin staff Track sessions, time off requests, and scheduling coverage Maintain company calendar and provide reminders as needed Assist with payroll prep, reports, invoices, receipts, and document organization Join weekly Team Meetings Keep Google Drive organized and intuitive (working collaboratively with leadership) Take notes during meetings and share summaries with the team Help track action items and follow-through from meetings Support reviews and quality checks for clinicians and client experience Assist with onboarding, documentation, and internal communication Help celebrate team members (birthdays, anniversaries, milestones) and plan socials Assist with intake coordination, scheduling, and client communication Check email, chat tasks, and appointment approvals multiple times daily Maintain confidentiality at all times—for clients and internal business matters Serve as a reliable point-person for the owner’s daily needs Capture ideas, emails, and "mental notes" and turn them into organized action Help anticipate needs and reduce overwhelm through proactive support Skills Warm, empathic, and emotionally intelligent Highly organized and dependable Comfortable with Google Workspace (Drive, Docs, Sheets, Calendar) Self-motivated and able to manage priorities without micromanagement Confident communicator who values honesty, feedback, and collaboration Respectful of confidentiality and professional boundaries Enjoys creating calm, order, and beauty in a shared space Appreciates faith-informed values and relationship-centered work Consistent availability during business hours is required Experience in healthcare, counseling, administration, or small-business operations Benefits Flexible schedule with autonomy and variety A workplace where asking for help, learning, and growth are encouraged Opportunity to truly make a difference in how a practice operates and feels Company Overview We are a team of licensed professional counselors providing Emotionally Focused Therapy, healing interventions, practical support, and real hope for individuals and couples who desire a thriving, intimate, best-friendship with each other.
