About the Role We are seeking an experienced and highly motivated Customer Service Specialist to join our team at arenaflex. As a Customer Service Specialist, you will be responsible for overseeing daily office operations, providing exceptional customer service, and contributing to the growth and success of our clients. Key Responsibilities Oversee daily office operations, including answering phones, responding to emails, and managing service appointments for our clients in the home service industry. Coordinate and schedule technicians for service calls, installations, and repairs, ensuring efficient use of resources and excellent customer service. Dispatch technicians to job sites efficiently and manage schedules for last-minute changes or emergencies, demonstrating strong problem-solving skills and attention to detail. Serve as the point of contact for customer inquiries, appointments, and complaints, ensuring top-notch customer service and resolving issues in a professional and courteous manner. Organize documents, invoices, and client records, maintaining accurate and up-to-date information and ensuring compliance with industry regulations. Process customer payments and follow up on overdue accounts, demonstrating strong time management and organizational skills. Assist in the setup and implementation of ServiceTitan or similar dispatching software, contributing to the growth and development of our services at arenaflex. Contribute to additional tasks to support the company's growth, demonstrating flexibility and a willingness to learn and adapt to new challenges. Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: Experience in scheduling or dispatching, preferably in the home service industry (e.g., plumbing, HVAC, electrical services). Proficiency in Google Suite and Slack, with excellent time management, multitasking, and problem-solving skills. Experience in a Cloud-based CRM (e.g., Jobber, HouseCall Pro, SingleOps) is highly desirable, as is familiarity with industry terminology, processes, and materials. Strong attention to detail and communication skills, with the ability to provide exceptional customer service and resolve issues in a professional and courteous manner. Must pass a background check, demonstrating a commitment to integrity and professionalism. Preferred Qualifications While not essential, the following qualifications are highly desirable: Experience in the home service industry (e.g., plumbing, HVAC, electrical services), with a strong understanding of industry terminology, processes, and materials. Experience with ServiceTitan or similar dispatching software, demonstrating a willingness to learn and adapt to new technologies. Familiarity with industry-specific software and systems, such as cloud-based CRMs and dispatching software. Certifications or training in customer service, scheduling, or dispatching, demonstrating a commitment to professional development and growth. Technical Requirements To perform this role, you will need to meet the following technical requirements: Desktop or Laptop with webcam and speakers, and a second monitor, ensuring the ability to communicate effectively with clients and colleagues. Operating System must be Windows or Mac based, with a minimum of 8gb RAM, ensuring the ability to run software and systems efficiently. Tablets, Winbooks, Smart devices, Windows Mini PCs, Chromebook, and Android systems are NOT compatible, so please ensure you have a suitable device before applying.
