Key Responsibilities Organize and maintain a well-structured office environment, ensuring optimal procedures and workflows Sort and distribute communications in a timely and efficient manner, ensuring that all stakeholders are informed and up-to-date Create and update records, ensuring accuracy, validity, and confidentiality of information Schedule and plan meetings and appointments, coordinating with team members and stakeholders to ensure seamless execution Monitor and manage office supplies, handling shortages and ensuring that all necessary materials are available Resolve office-related malfunctions and respond to requests or issues in a prompt and professional manner Coordinate with other departments to ensure compliance with established policies and procedures Maintain trusting relationships with suppliers, customers, and colleagues, fostering a positive and collaborative work environment Perform receptionist duties as needed, providing exceptional customer service and ensuring a warm and welcoming experience for visitors Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: Proven experience as a back-office assistant, office assistant, or in another relevant administrative role Knowledge of "back-office" computer systems and software applications Working knowledge of office equipment, including printers, scanners, and copiers Thorough understanding of office management procedures and best practices Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously Analytical abilities and aptitude in problem-solving, with a keen eye for detail and a proactive approach to resolving issues Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders at all levels Proficiency in MS Office, including Word, Excel, and Outlook Knowledge of QuickBooks and other accounting software applications Preferred Qualifications While not essential, the following preferred qualifications will be considered an asset: Experience working in a fast-paced office environment, with a high volume of administrative tasks and responsibilities Knowledge of customer relationship management (CRM) software and other administrative tools Experience with data entry and record-keeping, with a high degree of accuracy and attention to detail Strong analytical and problem-solving skills, with the ability to think critically and outside the box Excellent interpersonal and communication skills, with the ability to build strong relationships with stakeholders Career Growth and Development Opportunities At arenaflex, we are committed to the growth and development of our team members.
