As an Administrative Assistant, your responsibilities will include: Coordinating calendars and scheduling travel arrangements for senior executives Organizing departmental meetings and events Preparing and submitting expense reports, ensuring timely submission and accurate documentation Assisting with hiring and onboarding new team members in collaboration with Human Resources and the executive team Guiding and training team members on various enterprise applications Preparing and submitting purchase orders and invoices Managing communications needs for the senior executive team Maintaining up-to-date knowledge management systems, including distribution lists, organization charts, and calendar management Developing and contributing to high-quality presentations for internal and external audiences Presentation and analysis of bank processes and data Enabling optimal hybrid work implementation, managing office supplies, facilities requests, and schedule management Overseeing the pool car and bank lease vehicle program Coordinating employee resources for office technology, workspace assignments, and facility upkeep Identifying and managing ad hoc projects or process improvements related to policy and procedure upkeep Essential and Preferred Qualifications To succeed in this role, you will need: A High School diploma or equivalent, with higher education preferred Relevant work experience in a similar field and/or industry, with experience in financial services being an advantage Superior organizational and communication skills, with the ability to plan, multi-task, and prioritize to meet deadlines Meticulous attention to detail, focused on the accuracy and quality of deliverables Excellent executive relationship skills, with experience as an assistant to senior executives Proficiency in MS Office, including PowerPoint and Excel Skills and Competencies In addition to the qualifications listed above, the ideal candidate will possess: Strong analytical thinking and communication skills The ability to work independently and as part of a team Flexibility and adaptability in a rapidly changing environment A proactive approach to problem-solving and process improvement A commitment to delivering high-quality results and exceptional customer service Career Growth Opportunities and Learning Benefits At Workwarp, we are committed to supporting the growth and development of our employees.
