Job Overview We're excited to introduce a new Office Manager/Coordinator role within our Management and Operations department. As a key member of our team, you'll play a vital part in ensuring the smooth operation of our office and administrative functions. This is a full-time position, requiring a minimum of 2 years of experience, and offers the opportunity to work remotely with flexibility. Key Responsibilities Oversee project and job-site scheduling for internal staff and sub-contractors, ensuring seamless execution and timely completion. Assist with customer scheduling and follow-up, providing exceptional customer service and support. Manage basic customer billing and invoicing, maintaining accuracy and efficiency. Provide administrative support to sales technicians, ensuring they have the resources they need to succeed. Perform general office and administrative tasks, including scanning and processing mail, handling insurance items, and maintaining office organization. Coordinate with internal engineering teams to ensure effective communication and collaboration. Work closely with internal purchasing and planning teams to optimize operations and drive results. Maintain all OSHA compliance and safety standards, ensuring a safe and healthy work environment. Essential Qualifications To excel in this role, you'll need: A minimum of 5 years of experience as an Office Manager or in a similar role. At least 5 years of experience in the construction industry, with a strong understanding of general construction principles and practices. A minimum of 2 years of experience working with sub-contractors, with the ability to effectively manage and coordinate their work. Excellent computer skills, with proficiency in Microsoft Word, Outlook, and other Microsoft products. Experience with smartphone technology, preferably iPhone. The ability to stand and walk for long periods, with the capacity to lift over 70 pounds. Preferred Qualifications While not essential, the following qualifications are highly desirable: A proven track record of success in an Office Manager or Coordinator role. Experience working in a remote or flexible work environment. Strong knowledge of OSHA compliance and safety standards. Excellent communication, interpersonal, and management skills.
