Job Overview The successful candidate will be responsible for providing exceptional administrative support to our team, ensuring the smooth operation of our daily office activities. As a Customer Service Representative, you will be the first point of contact for our customers, suppliers, and colleagues, and will play a critical role in maintaining trusting relationships and resolving office-related issues. Key Responsibilities Organize office and assist associates in ways that optimize procedures, ensuring maximum efficiency and productivity Sort and distribute communications in a timely manner, maintaining accurate and up-to-date records Create and update records, ensuring accuracy and validity of information, and complying with established policies and procedures Schedule and plan meetings and appointments, coordinating with other departments and stakeholders as required Monitor level of supplies and handle shortages, ensuring that our office is always well-stocked and equipped Resolve office-related malfunctions and respond to requests or issues, providing timely and effective solutions Coordinate with other departments to ensure compliance with established policies and procedures, maintaining a high level of collaboration and teamwork Maintain trusting relationships with suppliers, customers, and colleagues, providing exceptional customer service and support Perform receptionist duties when needed, providing a warm and welcoming experience for our visitors and customers Essential Qualifications To be successful in this role, you will require: Proven experience as a back-office assistant, office assistant, or in another relevant administrative role Knowledge of "back-office" computer systems and software applications Working knowledge of office equipment, including printers, scanners, and photocopiers Thorough understanding of office management procedures and practices Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously Analytical abilities and aptitude in problem-solving, with a focus on finding creative and effective solutions Excellent written and verbal communication skills, with the ability to communicate effectively with customers, suppliers, and colleagues Proficiency in MS Office, including Word, Excel, and Outlook Knowledge of QuickBooks and Excel, with the ability to maintain accurate and up-to-date financial records Preferred Qualifications While not essential, the following qualifications and skills are highly desirable: Experience working in a fast-paced office environment, with a high volume of phone calls, emails, and visitors Knowledge of customer relationship management (CRM) software and systems Experience with social media management and marketing Basic accounting and bookkeeping skills, with the ability to maintain accurate and up-to-date financial records Experience working with a team, with a focus on collaboration, communication, and mutual support Career Growth Opportunities and Learning Benefits At arenaflex, we are committed to the growth and development of our employees, providing opportunities for training, education, and career advancement.
