Executive Assistant – Global Scheduling & Travel (U.S. & Asia)
This a Full Remote job, the offer is available from: Asia We are seeking a seasoned Senior Executive Assistant to support high-level executives across U.S. and Asia-based operations. This role demands exceptional organizational skills, global coordination expertise, and the ability to operate independently in a fast-paced, high-stakes environment. Key Responsibilities: • Lead and manage complex calendar scheduling across multiple time zones (U.S. & Asia), anticipating conflicts and proactively resolving overlaps. • Arrange and oversee all aspects of international travel: flights, accommodations, ground transport, and visa documentation—ensuring seamless and cost-efficient itineraries. • Track, reconcile, and submit executive expense reports; maintain accurate records of travel and business-related expenses. • Manage high-priority administrative and project-based tasks, including preparation of executive-level documents, presentation decks, reports, and action plans. • Serve as the primary liaison between executives and internal teams or external stakeholders; coordinate high-level meetings, off-site events, and strategic sessions. • Prepare agendas, organize virtual and in-person meetings, and ensure all materials are delivered in advance to stakeholders. • Provide on-demand executive-level support across various departments, ensuring confidentiality and accuracy in all deliverables. Qualifications: • 5+ years of experience supporting C-suite executives or senior leadership in fast-paced, global, or venture-backed organizations. • Demonstrated ability to manage complex international calendars and coordinate multi-leg international travel independently. • Advanced proficiency in Microsoft Office Suite, Google Workspace, and global travel/expense management tools (e.g., Concur, TripActions). • Outstanding organizational skills with an ability to prioritize and pivot as needed in dynamic environments. • Strong verbal and written communication skills with cultural sensitivity to engage with diverse, international teams. • Proven ability to exercise discretion, sound judgment, and maintain confidentiality at the highest level. • Comfortable making independent decisions and taking initiative with minimal guidance. • Fluency in English required; Mandarin or Korean proficiency is a strong plus.Why Join Assist World? 100% REMOTE $50 birthday bonus $200 testimonial bonus $300 tenure bonus every 6 months $500 entry monthly raffle NO TRACKER.
