• Position Type: DISTRICT SUPPORT/ANALYST • Date Posted: 1/8/2026 • Location: HR: Talent Management POSITION SUMMARY The Records Analyst is a pivotal role within the Human Resources department, responsible for ensuring the accuracy, integrity, and compliance of personnel data across multiple schools and departments. This role requires a strategic approach to managing electronic records in alignment with district, state, and federal standards. The Records Analyst plays a key part in the certification process, ensuring timely submissions and compliance. Through collaboration with HR, payroll, and other departments, the Records Analyst supports data-driven decision-making and contributes to the continuous improvement of HR processes. This position reports to the HR Staffing Director. ESSENTIAL DUTIES Data Management & Integrity • Ensure the accurate entry and processing of personnel actions—including new hires, rehires, terminations, transfers, salary changes, and other updates—into the HR information system for assigned schools and departments. • Preserve the accuracy and integrity of personnel data through diligent monitoring and verification, proactively addressing discrepancies as they arise. • Analyze and interpret source documents to determine appropriate actions, ensuring adherence to district policies and procedures. • Track and manage tenure status records for identified employees, ensuring compliance with district and state regulations. • Oversee the organization and security of employee documents, ensuring proper filing and secure storage within electronic document management systems (Image Director). Compliance & Reporting • Collaborate with certification, compensation, and other departments to ensure accurate and timely data entry, certification applications, and updates related to employee actions and adjustments. • Support the preparation and submission of state-mandated reports (including CPI), ensuring data accuracy and compliance with timelines and legal requirements. • Conduct regular audits of personnel records to ensure compliance with district policies, and update or correct any discrepancies to uphold data integrity. • Assist with Open Records Requests, verifying and preparing relevant records in compliance with district policies and legal standards. Strategic Reporting & Analysis • Generate and analyze standard and ad-hoc HRIS reports for HR Strategic Director to support data-driven decision-making and operational improvements. • Conduct periodic reviews of HR data, identifying trends, potential discrepancies, and opportunities for improving processes or enhancing data accuracy. Client Service & Communication • Respond to internal and external inquiries regarding personnel records, certification status, and data-related issues with professionalism and clarity. • Deliver exceptional customer service by collaborating with Payroll, and other teams to resolve issues and ensure operational efficiency. • Communicate critical HR-related information to internal and external stakeholders, ensuring transparency and adherence to established guidelines. Performance & Accountability • Ensure regular attendance and availability for both in-person and remote work as required by the department's needs. • Proactively identify opportunities for process improvement within HR data management and compliance, contributing to more efficient operations. • Complete other tasks assigned by an appropriate administrator or representative. MIMIMUM QUALIFICATIONS EDUCATION: • High School Diploma or GED required. • Bachelor’s degree preferred. CERTIFICATION/LICENSE: • Valid Georgia’s drivers license required. • pHCLE (Professional Human Capital Leader in Education) or SHRM (Society for Human Resource Management) certification preferred WORK EXPERIENCE: • 1-3 years’ experience in human resources, data management, or related roles, with a strong focus on managing personnel records, compliance, and data integrity required • Experience in a K-12 education setting, with a deep understanding of the unique requirements and challenges within educational environments preferred. KNOWLEDGE, SKILLS & ABILITIES Knowledge: • Comprehensive knowledge of Human Resources Information Systems (HRIS)/Enterprise Resource Planning (ERP) systems, including data entry, reporting, and troubleshooting functions. • In-depth understanding of state and federal regulations related to personnel records management, certification applications, and data privacy. • Familiarity with the certification process and its compliance requirements in educational settings, particularly in K-12 environments. • Strong knowledge of records management principles and best practices, including document security, retention, and compliance. • Knowledge of payroll, compensation, and hiring processes, especially in relation to maintaining accurate records and data integrity. Skills: • Advanced data management and analytical skills, with the ability to process, audit, and correct large volumes of data while maintaining accuracy. • Excellent communication skills, both verbal and written, with the ability to convey complex information clearly and professionally to diverse stakeholders. • Technical troubleshooting skills, particularly in resolving HRIS issues and optimizing system functionality. • Strong organizational skills, with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment. Abilities: • Ability to uphold the highest levels of confidentiality and data security, ensuring the protection of sensitive personnel information. • Ability to collaborate effectively across multiple departments, including HR, payroll, finance, and certification, to support data-driven decision-making and operational efficiency. • Ability to adapt to evolving technologies and processes, implementing improvements to optimize HR workflows and records management. • Proven ability to resolve complex issues, using critical thinking and problem-solving skills to address data discrepancies, HR inquiries, and system challenges. • Capacity for continuous learning and professional development, staying updated on HR practices, certification requirements, and data management trends.
