Travel Booking Coordinator - Boutique Hotel Bookings - Full-Time
I run a boutique travel media brand that helps discerning travelers discover exceptional hotels around the world. We need a detail-oriented booking coordinator to handle the day-to-day bookings and behind the scenes client management. This is a hands-on execution role. This is a different role than we posted last week for our director of operations position, if you applied to that please don't apply to this (different skill set). If you thrive behind the scenes, love the logistics of travel, and take pride in getting every detail right - this could be a great fit. PLEASE READ THIS WHOLE DESCRIPTION BEFORE APPLYING, OR YOUR APPLICATION WILL NOT BE CONSIDERED. What you'll do: • Respond to client inquiries. Research rates, availability, and perks via booking platforms (Virtuoso, other platforms, direct hotel outreach, etc.) • Create polished, branded proposals for single-property and multi-stop itineraries • Handle all booking logistics: reservations, payments, confirmations • Coordinate VIP treatment for clients - airport pickups, room upgrades, special requests Who you are: • At least 2 years of travel industry experience required - specifically with client bookings, working with hotels, and navigating booking platforms • Highly organized and detail-obsessed - you don't drop balls • Self-directed - you figure things out without being told what to do • Happy working behind the scenes - you take pride in making things run smoothly The Role: • 40+ hours/week. This is a startup operation - not a strict 9-to-5. We value work-life balance, but client needs aren't always predictable. You should be comfortable with occasional evening or weekend work when the business demands it. • Hourly compensation with potential for performance bonuses tied to bookings and promotions/management roles. Location Requirements: I'm based on the U.S. West Coast and work closely with a team member in Europe. Due to time zone considerations, we can only consider applicants from North America, Central America, South America, or Europe (in Europe, we have a preference for candidates in: Italy, Spain, Portugal, and Central Europe). If you are located in Asia, South Asia, India, Africa, or other regions outside the Americas and Europe, please do not apply - your application will not be considered. To Apply: Skip the generic cover letter. Instead, answer these two questions: • 1. What booking platforms and systems have you worked with, and what was your role in the booking process? (Be specific - I want to understand your hands-on experience.) • 2. Tell me about a time you went above and beyond to make sure a client's travel experience was flawless. (What was the situation, what did you do, and how did it turn out?) Applications that don't answer these questions will not be considered. Thank you! Apply tot his job
