[Remote] Executive Assistant to Founder of Private Equity Firm

Pocketbook Agency is a private equity firm located in San Francisco seeking a highly skilled and detail-oriented Executive Assistant to support its Founders. The role involves managing complex schedules, travel arrangements, and providing high-level administrative support while maintaining discretion and professionalism. Responsibilities • Provide extremely complex calendar and meeting management, including navigating “Tetris-style” schedules, prioritizing competing demands, and coordinating across multiple time zones • Manage heavy domestic and international travel, including multi-leg itineraries, last-minute changes, hotel and ground transportation, and detailed travel briefs • Serve as a reliable backfill for the in-office administrative team, stepping in seamlessly when team members are out of office • Report directly to the Chief of Staff, taking direction, providing updates, and ensuring alignment on priorities and deliverables • Handle confidential information with the highest level of discretion and deliver white-glove, anticipatory support • Go onsite to the Presidio office as needed for meetings, projects, or urgent in-person tasks • Assist with ad hoc projects, document preparation, tracking action items, and cross-functional administrative needs Skills • 7+ years of Executive Assistant experience, ideally in private equity, finance, venture capital, or a similarly fast-paced environment • Proven experience supporting C-level executives with highly complex calendars and extensive international travel • Comfortable reporting directly to a Chief of Staff and collaborating effectively across teams • Based in the San Francisco Bay Area with the ability to go onsite on short notice • Exceptional judgment, communication skills, professionalism, and service orientation • Highly adaptable, responsive, and comfortable in an always-on, dynamic environment Benefits • Benefits Company Overview • Proudly recognized by Forbes as one of America’s Best Professional Recruiting Firms in both 2024 and 2025, and honored on Inc.
