Remote Administrative Coordinator (Bilingual) – Mental Health & Immigration Services
Schedule & Availability • Remote position • Monday to Friday (Saturday/Sunday optional) • Flexible hours • Ability to answer incoming phone calls when available, or return missed calls in a timely manner • Must check and respond to email / phone / text at least three times daily (morning, midday, evening – timing flexible, consistency required) Time Commitment: This is a part-time role requiring consistent weekday responsiveness, with an estimated 4–6 hours of active work per week, with fluctuations depending on inquiry volume. Position Overview We are seeking a reliable, detail-oriented Administrative Coordinator to support a boutique mental health practice that works closely with immigration-related services. This role is essential to client experience, scheduling accuracy, and case coordination. You will often be the first point of contact for clients and professionals seeking time-sensitive mental health services connected to immigration matters. Clear communication, responsiveness, discretion, and strong organizational skills are critical. Founded over six years ago, our practice is intentionally selective and well-scoped. We operate with organized systems, clear workflows, and established procedures, allowing us to work calmly, efficiently, and with purpose while providing thoughtful, high-quality care. Responsibilities Client Inquiry & Communication • Respond promptly to email, phone, and text inquiries • Check and respond to communications at least three times daily on weekdays • Communicate with clients in a calm, professional, and respectful manner • Answer procedure- and scheduling-related questions • Coordinate and schedule appointments Administrative & Case Support • Update internal rosters accurately and consistently • Send required intake and consent forms through the practice system • Monitor completion of forms and follow up as needed • Document case-related information clearly • Collect and document payments when required Qualifications & Skills • Spanish-speaking required • Prior experience in healthcare, or legal-related settings preferred • High attention to detail and accuracy • Honest, respectful, and professional communication style • Able to work independently and follow established procedures Why You’ll Love This Role Meaningful, Human-Centered Work This role directly supports mental health services connected to the immigration system and serves vulnerable populations.
