Procurement, Supplier Sourcing & RFQ Management - Contract to Hire
Role Overview Looking for a detail-oriented Virtual Assistant to support procurement and sourcing operations. You'll identify suppliers, manage quote requests, track negotiations, and handle routine communications with vendors and buyers. This is an ongoing part-time role (20 hours/week) with potential to grow. Key Responsibilities Supplier Sourcing (40%) Search B2B platforms (Alibaba, TradeKey, IndiaMART, Made-in-China, Global Sources) for verified manufacturers Filter for factories only — no middlemen or trading companies Send initial inquiry emails using provided templates Collect supplier responses, pricing (FOB/CIF), MOQs, lead times, and payment terms Request documentation: business licenses, certifications, inspection reports RFQ & Quote Management (30%) Monitor RFQ sections on B2B platforms daily Qualify leads using provided checklist (company verification, quantity, destination, payment terms) Draft and send quote responses using templates Follow up on unanswered inquiries Track quote status and buyer responses Administrative & Tracking (30%) Maintain supplier/buyer tracking spreadsheet with contact details, pricing, and status Update pipeline with communication history and next steps Organize documentation folders Flag compliance concerns or red flags Requirements Must Have: Excellent written English Experience with B2B sourcing platforms (Alibaba, IndiaMART, TradeKey, or similar) Strong Excel/Google Sheets skills Reliable internet and ability to work independently Attention to detail Nice to Have: Background in procurement, import/export, or supply chain Familiarity with Incoterms (FOB, CIF, EXW, DDP) Knowledge of payment terms (L/C, TT, D/P, CAD) Experience with logistics coordination or freight forwarding CRM or lead tracking experience Apply tot his job
