Executive Team Support · Supports the Executive team in general business operations planning, organizing, and delivering as a team and supporting individual VPs on administrative tasks. · Independently handles a wide variety of situations involving the administrative functions of the office that need not be brought to the attention of the executives. · Research and manage special projects. · Acts as a trusted advisor to the ALT members, handling special projects and ad hoc incoming requests as they arise. · Arranges board of directors' meetings for Arlon President & CEO with shareholders EA. Contacts or replies to contacts from shareholder trust company, each contact must be handled differently, using judgment and discretion. · Takes minutes/notes, noting commitments made by ALT during meetings and follows up as required on implementation. · Ensures that requests for action or information are relayed to appropriate staff members. · Interprets requests, helps implement action, and decides whether executive should be notified of important, or emergency matters as needed. · Analyzes and creates office operating practices, such as record keeping systems, forms control, office layout, suggestion systems, budgetary requirements, and performance standards to create new systems or revise established procedures. · Prepares reports including conclusions and recommendations for solution of operational and administrative problems. Tracks function progress in a weekly report. · Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending meetings as required. · Prepares slide decks and narratives for all executive team meetings including CEO All Hands, Board packs and other reporting. · Organizes all meetings internal and external for the leadership team including event booking, agendas, and offsite activities, manages overall calendar for this team. · Professional services invoicing – approve invoicing relating to budget areas managed by this position. · Organization and maintenance of leadership team SharePoint files. · Explore initiatives to enhance and improve day to day Operations e.g.: Corporate travel system, ALT Calendar. · Actively seeks opportunities and proposes solutions; uses initiative and forward-looking · Supports the office of the CEO, as required. Legal Department Support · Setup key legal templates in DocuSign. · Review and approve incoming NDAs. · With the VP, attend all legal review meetings to understand key areas of legal function to effectively support. Manage minutes and follow up on actions. · Legal invoicing – approval invoices from Legal Tracker system. · Escalate to VP, HR & Legal and Legal Counsel as required. People, Culture & Talent · Corporate Onboarding Program management. · Corporate communications, draft and issue global Company Announcements as required. · Coordinate and support collection and assembly of monthly Townhall Meeting slide decks. · Budget, plan and manage corporate events as required for CA location and others as required. · Community Support – research and liaison for corporate initiatives. · Create, issue, and collate results of surveys to employees as required. · Coordinate the global Leadership Development program(s) annually – event management, bookings, brochures, and communications. Requirements: · Bachelor's degree in Business, Communications, Legal or other relevant area. · Minimum five (5) years of relevant work experience. · Must be comfortable making decisions, exercise discretion and use independent judgment daily. · Proficient in Microsoft Office ® suite; SharePoint and DocuSign experience an advantage. · Strong typing skills –80wpm range. · Excellent communication skills (writing, verbal, listening, presentation and interpersonal).
