Logistics + Order Execution Coordinator (US Hours) Hourly | Ongoing | 20–40 hrs/week | US time zone required Overview We’re looking for a sharp, reliable Logistics + Order Execution Coordinator to help us eliminate bottlenecks and keep orders moving smoothly from RFQ → PO → shipment → delivery → invoice. This is not a strategy role. This is a high-ownership execution role where you will follow up with suppliers, confirm details, track shipments, and keep internal status updates clean and current. If you’re the type who is organized, persistent, calm under pressure, and closes loops without needing reminders, you’ll thrive here. ________________________________________ What You’ll Be Doing (Daily Work) 1) Order Execution + Follow-Up •Track orders end-to-end: RFQ → PO → shipping → delivery confirmation → invoice • Confirm supplier details: o pricing o lead times o ship dates o tracking numbers • Follow up with suppliers until everything is confirmed (no dropped threads) 2) PO + Documentation Support • Prepare and organize purchase order details for processing • Ensure supplier confirmations are saved and documented properly • Maintain clean order records and communications history 3) Shipping + Tracking • Coordinate shipments and confirm tracking updates • Resolve exceptions: o delayed shipments o missing tracking o partial shipments • Collect proof of delivery when needed 4) Invoice Follow-Up • Request invoices from suppliers • Match invoices against PO and shipment terms • Flag discrepancies quickly and push resolution through 5) Runbook / Process Support • Help document workflows in Confluence (step-by-step) • Call out friction points and repeat problems • Keep process execution consistent to support future automation ________________________________________ Requirements (Must-Have) • US working hours required (Eastern or Central strongly preferred) • 2+ years experience in logistics, order management, purchasing support, supply chain ops, or customer operations • Strong follow-through (you don’t “assume someone else handled it”) • Professional written communication (email + internal updates) • Comfortable chasing suppliers persistently and professionally • High attention to detail and strong task management ________________________________________ Nice to Have • Experience working with: o distributors o 3PLs o freight carriers o high-volume purchasing environments • Familiarity with PO workflows + invoice handling • Healthcare / med-surg supply chain experience (not required) ________________________________________ Traits We’re Screening For • Calm under pressure • Extremely organized • Persistent without being pushy • Works independently without constant supervision • Takes ownership and closes loops ________________________________________ Success Looks Like (First 30–60 Days) • Order follow-ups and tracking are handled consistently without bottlenecks • Fewer missed threads and fewer “where does this stand?” questions • Clean visibility on every open order • Reduced stress across the core ops team ________________________________________ To Apply (Required) Please reply with: 1.
