Responsibilities • Manage incoming calls and inquiries with professionalism, demonstrating excellent phone etiquette and active listening skills. • Conduct patient intake by gathering comprehensive demographic, insurance, and medical history information accurately within electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. • Verify insurance coverage, including insurance verification for Medicare and other providers, ensuring eligibility and benefits are confirmed prior to appointments. • Process EAP referrals and maintain required documentation • Manage adminstrative email in box and maintain organized records • Schedule appointments efficiently using medical scheduling software, coordinating with clinicians to optimize daily calendars while accommodating patient needs. • Review medical documentation for completeness and accuracy, including care plans, clinical notes, and referral information, ensuring compliance with HIPAA regulations. • Maintain organized medical records by filing electronic documents correctly in EMR system, Valent, ensuring easy retrieval for clinical staff. • Support administrative tasks such as billing support related to CPT coding, ICD-10/ICD-9 coding, and medical billing processes to facilitate smooth revenue cycle management. Requirements • Proven experience in medical and or mental health (preferred) administrative support or office management within a healthcare setting, preferably in mental health or dental clinics. • Ability reach daily appointment goals • Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, experience with mental health is a plus. • Strong knowledge of medical terminology, CPT coding, ICD coding (ICD-10/ICD-9), and documentation review procedures. • Ability to handle insurance verification processes efficiently while maintaining compliance with HIPAA standards. • Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel), multi-line phone systems, typing (including 10-key), and data entry accuracy. • Exceptional customer service skills with a professional demeanor; capable of managing multi-tasking in a fast-paced environment. • Bilingual abilities are highly desirable to serve diverse patient populations effectively. • Experience working remotely is preferred but not required; strong self-motivation and organizational skills are essential.
