HubSpot CRM & Marketing Automation Specialist - Contract to Hire

Summary: We’re looking for a senior HubSpot CRM & Marketing Automation Specialist to help us design, improve, and operate clean, scalable HubSpot portals for multiple clients. This is an ongoing, hourly role for someone who lives in HubSpot (especially Marketing and Sales Hubs) and enjoys building systems that teams actually use to manage leads, deals, and campaigns. We are not looking for generalist marketers, juniors, or VAs. This role is for someone with deep, hands-on HubSpot experience. About Us: We Are Working is a HubSpot-focused implementation and operations team that supports agencies and service businesses with: HubSpot setup and configuration CRM structure and data cleanup Marketing automation and reporting You’ll be working alongside our internal HubSpot specialists and leadership, helping us deliver high-quality HubSpot work across multiple client accounts. About the Role: We already have active HubSpot work and expect this to grow. You will be a key specialist we can trust with: Auditing and improving existing HubSpot portals Designing and refining CRM structure (objects, properties, pipelines, lifecycle) Implementing and documenting workflows and automation Supporting ongoing reporting and optimization If we’re a good fit, this can evolve into a long-term relationship with increasing responsibility. Responsibilities You don’t need to do everything on day one, but you should be comfortable with most of the following: 1. Portal Audits & Structure Review existing HubSpot setups (objects, properties, pipelines, workflows, lists, dashboards) Identify issues, gaps, and “quick win” improvements Propose clear, staged recommendations (not just a list of problems) 2. CRM & Pipeline Design Define or refine lifecycle stages, lead statuses, and deal stages Design properties and basic data structure so segmentation and reporting are reliable Align HubSpot with how the client actually sells and markets (no over-complication) 3. Workflows & Marketing Automation Build and maintain workflows for: lead routing, task creation, follow-up, and nurturing. Support email campaigns and basic automation in Marketing Hub (nurtures, re-engagement, etc.) Ensure automations are safe, tested, and documented 4. Reporting & Dashboards Create and maintain dashboards for management and teams Set up reports that track leads, deals, and campaign performance in a way that’s easy to understand 5. Documentation & Collaboration Document what you build (what it does, how it works, which properties it uses) Communicate clearly with our internal team and, when needed, with clients Suggest better ways to structure our HubSpot work as you see patterns What We’re Looking For Must-haves: Strong, hands-on experience with HubSpot Marketing Hub and Sales Hub Experience cleaning up and improving existing HubSpot portals Comfortable designing or refining pipelines, lifecycle, and workflows Able to think in systems: process → data → automation → reporting Clear written English and comfort with async communication Detail-oriented and disciplined about testing and documentation Nice-to-haves: Experience with Service Hub (ticketing, support flows) Familiarity with other CRMs (HighLevel, Pipedrive, Zoho) Experience working in an agency or multi-client environment Comfort working with integrations (even if you’re not the one writing code) We are primarily looking for individual specialists, not agencies.
