Freelance Operations & Admin Support (AI-Proficient, 2–3 Days Per Week)
About Us Scott Jenkins Water Softeners is a long-established, family-run business specialising in domestic water softener installations, servicing, and filtration systems. We are preparing for the next stage of growth and are looking for a highly capable, organised freelancer to help streamline our operations, improve our systems, and support the day-to-day running of the office. The Role You will work alongside our full-time office administrator and the owner. Your main focus will be to bring structure and efficiency to the business: • turning messy processes into clear workflows • creating templates and documents • supporting scheduling and communication • using AI tools (ChatGPT or similar) to speed up admin and content creation This is a long-term, part-time freelance opportunity for someone who enjoys improving how a small business runs. Key Responsibilities • Streamline and document scheduling and workflow processes • Create and maintain reusable email templates for common customer situations • Assist with quotes, follow-ups, and customer communication • Use AI tools to: • draft emails and letters • create templates, FAQs, and guides • summarise information and build processes • Oversee basic Google Ads tasks and liaise with external providers where needed • Support light marketing/admin work (simple website updates, simple documents, PDFs etc) • Organise digital files, job sheets, and admin systems • Prepare simple reports and track jobs, enquiries, and outcomes • Liaise with engineers, customers, and suppliers when required • Support the rollout of new systems and additional installers as the business grows Requirements • Strong organisational skills and a process-focused mindset • Excellent written and verbal communication in clear, natural English • Confident and regular user of AI tools (ChatGPT or similar) for: • creating templates • speeding up admin • writing and refining communications • building documents and processes • Good general digital skills (email, spreadsheets, cloud documents, basic design tools such as Canva) • Experience in any of the following: • office management • operations/coordination • VA/PA work • admin support in a small business • Able to work independently and proactively, not just wait for instructions • UK-based (preferred) and available 2–3 days per week • Self-employed and able to invoice monthly Who This Will Suit This role is ideal for a freelance VA, PA, operations assistant, or office manager who: • enjoys creating order from chaos • likes improving systems and processes • uses AI tools as a natural part of their daily work • wants regular part-time work with a growing, down-to-earth small business How to Apply Please send: • a short introduction or CV • your freelance hourly or day rate • your typical weekly availability • a brief example (3–5 sentences) of how you have used AI (e.g. ChatGPT) to improve or speed up your work Job Type: Part-time Pay: Up to $200.00 per day Work Location: Remote Apply tot his job
