Fractional Marketing Operations Manager Part-Time | Remote | Retainer-Based Overview Gateway Pharmacy is a multi-location independent pharmacy with four retail locations and a compounding lab. We are seeking a Fractional Marketing Operations Manager to fully own marketing planning, coordination, execution, and performance visibility. This is not a sales role, not a full-time position, and not a traditional “creative marketing” job. This role exists to ensure marketing is planned in advance, executed consistently across channels, clearly understood, and never dropped. Success is measured by reliability, clarity, accuracy, and follow-through—not by volume of ideas or marketing jargon. Our objective is to remove day-to-day marketing oversight from leadership entirely. Core Responsibilities 1. Annual Marketing Calendar Ownership •Draft a comprehensive annual marketing calendar by November 15 for the following calendar year • Organize campaigns in two-month increments (may extend to 3 months if necessary). May repeat campaigns if they are performing well. • Align campaigns with: o Primary business priorities and constraints provided by leadership o Secondary service opportunities • Proactively recommend: o Campaign themes o Supporting ideas o Channel mix (commercial, radio, billboard, social, in-store) • Present calendar for approval and revise based on feedback Once approved, this calendar serves as the execution roadmap. 2. Campaign Planning & End-to-End Execution (Primary Function) For each two-month campaign, this role owns execution across all channels, including: • Drafting campaign messaging and commercial scripts and submitting for approval • Coordinate with an external commercial production partner to develop new commercials, including reuse or adaptation of existing commercials when appropriate • Coordinating with the commercial vendor to ensure proper launch timing • Writing, uploading, and confirming on-hold phone messaging goes live the same day the commercial launches • Designing digital billboards and coordinating launch timing • Designing and uploading in-store TV ads aligned with the campaign • Designing all related print materials (signage, flyers, brochures) and submitting files for us to printing • Communicating clearly when a retail sale or promotion should be entered into internal systems so pricing and messaging align with campaign launch • Submitting all campaign materials a minimum of 30 days prior to launch for approval • Managing all uploads, swaps, and rotations • Verifying that all assets are live, accurate, and current Hand-offs do not remove accountability. This role owns coordination, timing, and verification. 3. In-Store Experience & Waiting Area Content • Maintain and refresh in-store TV content • Rotate messaging to prevent stale or repetitive content • Strategically utilize waiting areas to highlight services, campaigns, and education • Ensure content is professional, accurate, and consistent across locations 4. Social Media (Facebook-Focused and/or any other platform desired) • Maintain consistent posting aligned with campaigns and reminders of ongoing services • Schedule posts in advance • Adapt campaign assets for social use • No daily engagement management or influencer activity required 5. Print Materials, Brochures & Light Editing • Create or update brochures, flyers, and printable materials • Maintain branding and messaging consistency • Provide some editing support for internal forms or documents when requested • Ensure materials are polished, accurate, and professional 6. Digital Marketing Performance Monitoring & Explanation This role is responsible for monitoring, summarizing, and clearly explaining digital marketing performance—not running complex ad platforms. Responsibilities include: • Monitor high-level indicators such as: o Website traffic trends o Search visibility / SEO indicators o Paid digital advertising activity (if active) • Maintain visibility into: o What digital ads are running o Why they are running o What they are intended to drive • Provide plain-English explanations of: o What is working o What is not o What has changed over time o Whether additional spend appears justified • Coordinate with external vendors or agencies, when applicable, to translate reports into clear, actionable summaries The expectation is clarity and accountability, not jargon. What This Role Is Not • Not a sales or lead-generation role • Not conference- or travel-based • Not deep SEO execution or paid ad optimization • Not a full-time position • Not a role requiring daily direction or reminders Expectations & Working Style • Works independently with minimal oversight • Plans ahead and meets deadlines without reminders • Maintains high attention to detail (spelling, formatting, accuracy) • Comfortable with repetition, systems, and refinement • Able to explain performance in clear, practical terms • Responsible for ensuring all campaign elements launch together, on time, and as approved Tools & Experience • Comfortable with Google Analytics or similar high-level reporting tools • Able to interpret (not necessarily manage) SEO and digital ad reports • Basic design capability (Canva, Adobe, or similar) • Experience coordinating with media, billboard, or advertising vendors • Familiarity with social scheduling tools • Strong organizational and project-tracking skills Experience in healthcare or multi-location retail is a plus but not required. Compensation & Structure • Monthly retainer: $1,500–$2,000, based on experience and demonstrated ownership • Flat monthly fee (no hourly tracking) • Initial 60–90 day trial period • 30-day termination clause for either party What Success Looks Like • Marketing runs on a calendar, not reminders • Campaigns launch on time and in alignment across channels • Assets are current, accurate, and professional • Digital activity is understandable and justified • Leadership does not need to check whether work was completed How to Apply Qualified candidates will be asked to complete a structured practical exercise and discuss how they manage recurring campaigns and execution accountability.
