Facility Management Operations Manager — Estimating & Government Programs Patriot Holdings International Remote (U.S.) — Full Time About Us Patriot Holdings International is a Service-Disabled Veteran–Owned Small Business (SDVOSB) providing national facility management and construction services. We support multi-site commercial portfolios across the U.S. — retail, restaurants, storage, healthcare, and more. We’re also actively expanding into federal, state, and local government set-aside FM contracts and building the internal engine to support that growth. We’re hiring a Facility Management Operations Manager who can own both day-to-day FM operations and the estimating/cost-control brain. The Role You will: • Run FM operations across a portfolio of commercial locations, • Own and refine estimating, price discipline, and tech controls, and • Help us build the operational backbone needed to compete for and execute government FM contracts as an SDVOSB. What You’ll Do 1. FM Operations — Keep the Machine Moving • Manage the full work order lifecycle: intake, triage, dispatch, scheduling, follow-up, and closeout for multiple trades and regions. • Maintain visibility across priorities, aging tickets, and SLA exposure; nothing falls through the cracks without you knowing about it. • Coordinate self-performing technicians and subcontractors, balancing workloads, travel, and regional coverage. • Live inside client portals and CMMS platforms (ServiceChannel, Corrigo, Fexa, etc. — or similar), ensuring notes, photos, and documentation are tight. • Serve as an operational point of contact for facility managers and client stakeholders — giving them proactive updates, not excuses. Estimating, Cost Control & Vendor Discipline • Turn vague work requests into clear scopes and defensible estimates — with contingencies where they actually belong. • Build and maintain standard SOW templates and price guides (unit pricing, typical repairs, standard PMs) to reduce guesswork. • Review and challenge vendor quotes, T&M tickets, and change orders to ensure labor, materials, and equipment are realistic and aligned with scope. • Track estimate vs. actual on completed jobs; update pricing assumptions and vendor usage based on real results. • Identify patterns where we’re losing money (scope creep, repeated call-backs, certain trades/regions) and recommend fixes — new vendors, new scopes, new standards. Government / SDVOSB & Set-Aside Support • Support leadership as we pursue government FM contracts, including: • Helping translate real-world FM operations into clear, winnable scopes and estimates for bids/RFPs. • Advising on staffing, coverage, and subcontractor strategies for government portfolios. • Ensure operational processes and documentation (work orders, PMs, safety, reporting) align with government-level expectations for compliance and auditability. • Bring a practical, no-BS view to how we can actually deliver what’s promised in contracts — on both commercial and government accounts. Leadership, Process & Continuous Improvement • Mentor coordinators, dispatchers, techs, and vendors on scope discipline, documentation, and cost awareness. • Help design and refine SOPs, KPIs, and reports that show what’s really happening in the field. • Work with leadership on capacity planning, resource allocation, and portfolio transitions (onboarding new clients, new geographies, or new contracts). What You Bring Must-Haves • 5 years in facility management, service operations, or construction management with responsibility for multi-site portfolios or high-volume work orders. • Strong practical understanding of commercial trades (at least working knowledge of plumbing, HVAC/R, electrical, general maintenance). • Direct experience with CMMS / FM platforms (ServiceChannel, Corrigo, Maximo, Fexa, Big Sky, SAP, or similar). • Proven track record of reviewing and challenging vendor estimates, quotes, and change orders — not just approving whatever shows up. • Comfort building or using price books, unit pricing, or standard SOW templates. • Ability to operate in a fast-paced, entrepreneurial environment where processes are improving but not all “corporate-perfect” yet. • Clear, direct communication style — you can talk to a technician, a GC, and a senior client contact in the same day and get things done with each. Nice-to-Haves • Experience with national accounts (retail, restaurants, storage, healthcare, etc.). • Exposure to government facilities, public agencies, or set-aside contracts (SDVOSB, 8(a), HUBZone, etc.). • Familiarity with RSMeans or similar estimating methodologies. • Background in procurement, project controls, or cost engineering. • Military or veteran background (not required, but very welcome).
