Job Overview and Responsibilities We are seeking a dedicated and compassionate Sleep Therapy Inbound Customer Service Representative to join our Sleep Central Inbound Call Center team in the Murray Operations division. As the first line of contact for CPAP resupply customers, you will play a vital role in delivering exceptional patient care and support, ensuring that our patients receive the best possible experience and outcomes. Your primary responsibilities will include new order intake, verifying and entering correct patient demographics, payer and physician-related information, and assisting customers with basic sleep coaching, reinforcement of cleaning and routine equipment maintenance, and product expertise on various mask interfaces and basic mask fit issues. Key Responsibilities: Act as a patient advocate to resolve questions or concerns, providing timely and effective solutions to ensure patient satisfaction and loyalty. Collect patient and source information, inputting data into e-Intake with accuracy and attention to detail. Complete thorough verification for products and services, ensuring compliance with current Medicare, Medicaid, insurance regulations, and FDA and JCAHO guidelines. Develop and maintain a working knowledge of current products and services offered by arenaflex, staying up-to-date with the latest developments and advancements in the home medical equipment industry. Identify and resolve problems in a timely manner, using effective communication and problem-solving skills to ensure prompt resolution and minimize delays. Make outbound calls as needed to collect patient data, building strong relationships with patients, physicians, and other stakeholders to ensure seamless communication and coordination of care. Manage all aspects of initial intake via high-volume inbound phone calls, prioritizing tasks and managing multiple responsibilities to ensure efficient and effective patient care. Process related patient paperwork, if assigned, maintaining accurate and detailed records to ensure compliance with regulatory requirements and arenaflex policies. Process tickets to ensure timely fulfillment of product orders, coordinating with internal teams and external partners to ensure prompt delivery and installation of medical equipment. Prompt and regular attendance is required, demonstrating a commitment to patient care and support, and contributing to a positive and productive team environment. Provide basic technical customer service assistance for CPAP equipment, troubleshooting issues and providing guidance on equipment maintenance and troubleshooting. Provide education to patients and location employees on CPAP supplies, promoting awareness and understanding of sleep apnea treatment and management. Use e-Intake proprietary system to maintain accuracy and quality control throughout initial patient contact and data input, ensuring compliance with arenaflex policies and procedures. Perform other duties as assigned, demonstrating flexibility and adaptability in a fast-paced and dynamic environment. Qualifications and Requirements To be successful in this role, you will need to meet the following qualifications and requirements: Essential Qualifications: High school diploma or GED equivalent, with a strong foundation in customer service, communication, and problem-solving skills. One to three years of related prior work experience in a team-oriented environment, preferably in the medical field or administrative record management. Strong customer service background, with a proven track record of delivering exceptional patient care and support. Basic computer and internet skills, with proficiency in Microsoft applications, including Word, Excel, and email transmission and communication. Valid driver's license in state of residence, with a clean driving record (when applicable for the position). Preferred Qualifications: Experience in the medical field, with knowledge of medical terminology, billing reimbursement, and insurance policies and requirements. Knowledge of Durable Medical Equipment (DME) or Home Medical Equipment (HME), with a strong understanding of sleep apnea treatment and management. Medical billing practices, with a working knowledge of current Medicare, Medicaid, insurance regulations, and FDA and JCAHO guidelines. Skills, Knowledge, and Abilities To excel in this role, you will need to possess the following skills, knowledge, and abilities: Effective communication skills, with the ability to communicate clearly and concisely in English, both orally and in writing. Helpful, knowledgeable, and polite, with a positive attitude and a strong commitment to patient care and support. Ability to interpret a variety of instructions in a variety of communication mediums, with strong problem-solving and analytical skills. Knowledge of medical terminology, with a working knowledge of current products and services offered by arenaflex. Multitasking and attention to detail, with the ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment. Self-motivation, organization, time management, and deductive problem-solving skills, with the ability to work independently and as part of a team. Physical Demands and Work Environment The physical demands of this role include: Lifting a minimum of 10lbs, with occasional standing, walking, and sitting. Prompt and regular attendance is required, with a commitment to maintaining a safe and healthy work environment. Close vision to small print on computer and/or paperwork, with occasional use of email transmission and communication, internet navigation, and research.
