Job Overview The Experienced Remote Non-Drive Set Up Specialist plays a critical role in assisting Collision Repair Specialists in securing non-drivable vehicles from tow yards or non-networked facilities. This straightforward yet challenging role requires a strong and diverse skillset in relevant areas, including automotive knowledge, customer service, and communication. As a Non-Drive Set Up Specialist, you will be responsible for managing non-drive vehicle views, coordinating with distribution coordinators, and assigning files within 24 hours of loss report creation. You will also be required to create purchase orders for safety repairs, coordinate with shops and tow yards regarding vehicle repairs, and communicate with clients and Collision Repair Specialists to ensure timely and effective repair completion. Key Responsibilities and Essential Functions Locate and secure non-drivable vehicles from tow yards or non-networked facilities Manage non-drive vehicle views and work with distribution coordinators to assign files within 24 hours of loss report creation Look up initial data (vehicle number, vendor number, MAP history) for reviewing vehicle history Create purchase orders for safety repairs, per the client's profile parameters Coordinate with shops and tow yards regarding vehicle repairs Assign appraisal companies for losses when necessary Send shop notices to body shops with instructions for vehicle repairs Contact drivers to inform them of the process or to obtain additional information as needed Communicate the status of repairs to Collision Repair Specialists and/or clients when necessary Update Lotus Notes with purchase orders created and update loss report status Document Lotus Notes properly and completely Help get repairs completed promptly Function as a liaison between vendors and Collision Repair Specialists Work to facilitate the completion of repairs when necessary Follow up on rentals for the Drivable Rental program Complete daily spreadsheets for files ready for assignment Assist Collision Repair Specialists with printing and issuing files under $1000 Assist with accounts payable rejects when necessary Work with the Account Executive to obtain title and registration needed for non-Wheels units Perform other duties as assigned Leadership Responsibilities This position has no managerial responsibilities, allowing you to focus on developing your skills and expertise as a Non-Drive Set Up Specialist. Competencies and Skills To be successful in this role, you will require: Basic to mid-level automotive knowledge Basic computer skills, including Windows, Excel, and Word Good customer communication and service skills Well-spoken verbal and written communication skills Ability to be flexible in position and hours Ability to work in a team environment Excellent work ethic, follow-up, and organizational skills Ability to work independently Ability to cross-train for other duties Ability to attend training classes as needed and/or requested Education and Experience We require: High school diploma PC familiarity, including Windows Minimum three (3) years of customer service experience An understanding of Fleet, Vehicle, or Collision Repair, Subrogation, and/or Risk Management is a plus Job Specifications, Physical Demands, and Work Environment This position is remote, with in-person training normally completed in our IL office. As a full-time position, you can expect to work Monday through Friday, with no travel required. The physical demands of this role require you to spend lengthy periods working on a PC and talking on the phone while sitting at a desk.
