Experienced Remote Executive Assistant to the General Counsel – Providing High-Level Support in a Fast-Paced Legal Environment

Workwarp, a company committed to innovation and excellence, is seeking an experienced Executive Assistant to the General Counsel to join their team in a remote capacity. About the Role The Executive Assistant to the General Counsel will provide high-level and tactical support to the General Counsel, a member of the Executive Committee. As a key partner to colleagues across the legal and labor departments, you will work closely with the director of legal operations to support department management. Representing The New York Times brand, you will proactively approach tasks and requests, effectively manage the General Counsel's daily schedule, and report directly to the General Counsel. Key Responsibilities Manage the General Counsel's active meeting calendar, including coordinating with participants, resolving conflicts, booking conference rooms, arranging technology, and generally managing the daily schedule. Organize department meetings, including scheduling, reminders, agenda development, conference room and virtual room set-up, catering, and technology support. Provide general office management, collaborating with internal teams (facilities, information technology, and others) to serve the department's office needs, including equipment, maintenance, staff seating set-up, storage needs, and supplies. Serve as the department administrator for Workday, managing position changes, overseeing time-keeping and paid time off, and maintaining the department vacation calendar. Prepare drafts of general correspondence, department communications, reports, and presentations. Lead logistics for departmental and team events, social activities, offsite meetings, and other events. Support multiple administrative matters, including employee onboarding and offboarding, disaster recovery/business continuity, budgeting, and coordination of periodic training efforts. Assist other senior legal leaders with calendar support, arrange travel, and manage expense report processing. Answer questions from department staff, assist in resolving general problems, and coordinate with other teams (information technology, human resources, etc.) to support the department. Collaborate with executive assistants across the organization, field incoming requests, and direct them to appropriate teams, handling highly confidential information with good judgment and discretion. Support the maintenance of and compliance with department applications and tools, ensuring department members are well-versed in shared document management practices. Maintain up-to-date and accurate department information in organizational charts and intranet, and maintain other department documents, files, resources, and policies in coordination with the legal operations team. Perform other responsibilities and special projects as assigned. Essential Qualifications To be successful in this role, you will have: 5+ years of experience providing support for senior executives. Working knowledge of Workday, Coupa, Egencia, Concur, and/or similar HRIS, vendor management, travel, and expense software. Preferred Qualifications Preferred candidates will have: Demonstrated ability to manage and meet deadlines in a fast-paced environment. Experience collaboratively working with all levels of management and staff. Experience working with legal departments. Clear written and oral communication skills. 3+ years of experience establishing organizational and prioritization systems for senior leaders and their teams. Notary public certification. Skills and Competencies To excel in this role, you will possess: Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. Strong communication and interpersonal skills, with the ability to build relationships with colleagues, executives, and external partners. High level of discretion and confidentiality, with the ability to handle sensitive information. Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Ability to work in a fast-paced environment, with a high level of flexibility and adaptability. Compensation, Perks, and Benefits We offer a competitive compensation package, including: A salary range of $85,000 to $115,000 per year, depending on experience and qualifications.
