Job Overview We are looking for a qualified candidate to fill the position of Administrative Support Specialist, providing administrative support to an integrated Adult Detox and Crisis Recovery Unit. This is a full-remote job, available to candidates based in the United States. As an Administrative Support Specialist, you will work closely with our team to provide back-up support during high-volume periods, including phone screenings, referrals, and other duties as needed. Key Responsibilities Utilize spreadsheets and databases to organize information and produce standard reports, including preparing complex disbursement forms, compiling and maintaining reports, and financial statements. Greet visitors, maintain, and administer appropriate safety procedures in secured environments, ensuring a safe and welcoming experience for all. Set up accounts, reconcile ledgers, gather data for budget preparation, and prepare a wide variety of accounting forms, including reconciling daily receipts or accounts receivable/payable. Verify requests for goods and services against contracts and funding sources, order goods or services, and follow up on discrepancies to ensure timely delivery. Establish, modify, and maintain systems for tracking work progress, train new employees, and provide explanations of relevant policies and procedures. Schedule and cancel appointments, maintain calendars, schedule rooms for classes, meetings, and conferences, and coordinate audio-visual and training equipment. Conduct tasks associated with payroll processing, including verifying timesheets, researching and resolving payroll discrepancies, and maintaining attendance and leave tracking records. Essential Qualifications To be successful in this role, you will need: A high school diploma or equivalent, combined with at least two years of administrative support experience. Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. Excellent communication and interpersonal skills, with the ability to work effectively with colleagues, management, and external stakeholders. Proficiency in using multiple software applications, including spreadsheets, databases, and word processing tools. Ability to work in a fast-paced environment, with a high level of accuracy and attention to detail. Preferred Qualifications While not essential, the following qualifications are highly desirable: An Associate's Degree in Business Administration or a related field, demonstrating a strong foundation in administrative principles and practices. Experience working in a healthcare or administrative setting, with a deep understanding of the challenges and opportunities in these fields. Advanced skills in data management, analysis, and reporting, with the ability to extract insights and recommendations from complex data sets.
