Key Responsibilities: Overseeing Day-to-Day Operations and Delivering Exceptional Customer Service As our ideal Scheduling Specialist, you will be responsible for managing the day-to-day scheduling operations, ensuring that jobs are ready for scheduling, and providing exceptional customer service. Your key responsibilities will include: Overseeing day-to-day operations of the office, including answering phones, responding to emails, managing incoming and outgoing correspondence, and managing service appointments Coordinating scheduling of technicians for service calls, installations, and repairs Dispatching technicians to job sites in a timely and efficient manner Monitoring technician schedules and adjusting as needed to accommodate emergencies or last-minute changes Serving as the point of contact for customer inquiries, scheduling appointments, and addressing concerns or complaints Ensuring excellent customer service by promptly responding to customer inquiries and resolving issues in a professional manner Organizing and maintaining systems for documents, invoices, and client records Processing payments from customers and following up on overdue accounts as necessary Assisting in setting up and implementing ServiceTitan Taking on additional responsibilities to support the growth of the company Essential Qualifications and Skills: What We're Looking For To succeed in this role, you'll need to have: Experience in dispatching, preferably in a similar industry such as plumbing, HVAC, or electrical services Proficiency in Google Suite, Slack, and dispatching software such as ServiceTitan Excellent time management skills and the ability to multitask and prioritize work Attention to detail and problem-solving skills Excellent communication skills, with the ability to effectively interact with customers, suppliers, and team members Familiarity with plumbing/HVAC/service terminology, processes, and materials (beneficial but not essential) A clear background check We're also looking for someone with a growth mindset, who is interested in professional development and is self-motivated to provide exceptional customer service.
