About the Position The Credentialing/Timekeeping Specialist plays a vital role in ensuring the smooth operation of our organization. As a key member of our team, you will be responsible for verifying and obtaining credentials and new hire documentation for education and healthcare professionals, ensuring compliance with relevant regulations, conducting onboarding, and managing timesheet accuracy. Your exceptional communication skills, attention to detail, and ability to work well under pressure will make you an invaluable asset to our team. Key Responsibilities Verify and obtain credentials and new hire documentation for education and healthcare professionals, ensuring accuracy and completeness. Ensure compliance with federal, state, and district regulations regarding licensure and certification, staying up-to-date with changing requirements and regulations. Complete position-specific background checks and verifications, maintaining confidentiality and discretion. Communicate with candidates regarding onboarding documents, timelines, and outstanding items, providing exceptional customer service and support. Conduct virtual onboarding and training, presenting job-specific information and company policies, and ensuring a seamless transition for new hires. Review timesheets for accuracy and completion, identifying and resolving discrepancies in a timely and efficient manner. Follow up with providers to gather additional information to meet timesheet and documentation requirements, building strong relationships and rapport. Collaborate with team members to communicate time-reporting issues as they arise, providing solutions and support to ensure seamless operations. Run various weekly reports to review timesheet submissions, hours worked vs. scheduled, variances, etc., analyzing data to inform process improvements. Participate in the weekly and monthly invoice submission process, ensuring accuracy and attention to detail. Serve as a liaison between front and back-office departments, attending weekly meetings as needed, and facilitating communication and collaboration. Support various human resources and finance functions and projects as needed, demonstrating flexibility and adaptability. Requirements and Qualifications To be successful in this role, you will need to possess a unique blend of administrative, technical, and interpersonal skills. The following requirements and qualifications are essential: High School Diploma or higher preferred, with a strong foundation in administration, business, or a related field. At least 3 years of professional administrative work experience is preferred, with previous experience in credentialing, file management, recruiting, timekeeping/payroll, or new hire onboarding being a significant advantage. High level of computer efficiency and experience with multiple software programs, including Google Suite and Microsoft Office applications. Nice-to-Haves In addition to the essential requirements, the following skills and qualifications are highly desirable: Experience with credentialing, timekeeping, and payroll software, with the ability to learn and adapt to new systems and technologies. Excellent verbal and written communication skills, with the ability to communicate complex information in a clear and concise manner. Ability to manage relationships and build rapport with colleagues, candidates, and providers, demonstrating empathy, understanding, and a customer-centric approach.
