Clinic and Medical Operations Manager

About the position VitalCheck Wellness is seeking a highly organized and detail-oriented Clinic and Medical Operations Manger to lead the daily operations of VitalCheck’s onsite clinics and workplace health programs. You will be responsible for driving the operational success of the program — managing logistics, ensuring regulatory compliance, and fostering an efficient, high-quality experience for employees and our corporate clients. This role is both strategic and hands-on, requiring strong coordination with administrators, clinical staff, and our corporate operations team. Responsibilities • Act as the primary liaison between operations, clinical staff, and corporate clients. • Coordinate clinic scheduling, staffing, logistics, and supply management across multiple sites. • Manage daily clinic operations to ensure efficiency, quality, and regulatory compliance. • Oversee the administration of vaccines, TB testing, phlebotomy, drug testing, and mask fit procedures in accordance with clinical standards. • Maintain accurate records, monitor performance metrics, and prepare operational reports for leadership. • Ensure compliance with HIPAA, OSHA, CLIA, and institutional protocols. • Identify and resolve operational issues while supporting continuous process improvement. • Touchbase with customers and patients on a regular basis to ensure satisfaction. Requirements • Bachelor’s degree in Healthcare Administration, Public Health, or a related field (or equivalent experience). • Minimum 5 years of experience working in the healthcare field, specifically in clinical operations, coordination, or program management roles. • Active BLS (basic life support) certification. • Demonstrated understanding of vaccine administration, specimen collection, and basic medical testing procedures. • Strong organizational, analytical, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment. • Excellent communication and interpersonal skills, with proven success collaborating across clinical and administrative teams. • In-depth knowledge of healthcare compliance standards, including HIPAA, OSHA, and CLIA. • Advanced proficiency in Microsoft Office Suite and high computer literacy. • Must be able to reliably commute as travel to clinic sites is expected throughout assigned territory in New York and New Jersey.
