Bi-Lingual Procedure Scheduler for Vein Clinic (Fully Remote)

Position Overview We are seeking a highly organized and detail-oriented Bi-Lingual (Spanish & English Speaking) Procedure Scheduler to manage provider calendars and coordinate vein procedures with accuracy, efficiency, and compliance. This role is critical to ensuring patients are scheduled appropriately, authorizations are in place, and all insurance and pre-benefit requirements are met prior to treatment. You will work closely with providers, clinical staff, billing, and authorization teams to ensure that procedures are scheduled correctly and supported by proper documentation. Key Responsibilities • Schedule vein procedures on provider calendars with precision and attention to medical, operational, and insurance requirements • Ensure all appointments are accurate, complete, and optimized for provider efficiency • Verify authorizations, pre-certifications, and pre-benefit requirements prior to scheduling procedures • Confirm insurance eligibility and procedure coverage for vein treatments • Coordinate with billing, authorization, and clinical teams to resolve scheduling or compliance issues • Review procedure orders and documentation to ensure readiness prior to appointment dates • Communicate clearly with patients regarding appointment details, preparation, and insurance requirements • Monitor provider schedules to maximize utilization and minimize gaps or inefficiencies • Identify and correct scheduling errors proactively • Maintain strict confidentiality and compliance with HIPAA and healthcare regulations Qualifications • Bi-Lingual (Speaks fluent English & Spanish) • Prior experience in a medical office required • Strong understanding of medical authorizations, pre-certifications, and insurance requirements • Experience scheduling procedures (vein, vascular, interventional, or surgical specialties preferred) • Knowledge of vein procedures and payer requirements is highly desirable • Excellent attention to detail and organizational skills • Strong written and verbal communication abilities • Ability to manage multiple schedules and priorities in a fast-paced healthcare environment • Proficiency with EHR/EMR systems and scheduling software • High level of professionalism, reliability, and accountability What Success Looks Like in This Role • Provider calendars are accurate, optimized, and fully authorized • Minimal same-day cancellations or reschedules due to missing authorizations or documentation • Smooth coordination between clinical, billing, and authorization teams • Patients are well-prepared and properly scheduled for their procedures Why Join Us • Work in a fast-growing, specialized medical practice • Be part of a high-performing clinical operations team • Make a direct impact on patient care, provider efficiency, and clinic revenue Pay: • $3,000 per month with up to $1,500 monthly bonus Job Type: Full-time Pay: $3,000.00 - $4,500.00 per month Benefits: • Paid time off Application Question(s): • What is your experience working in medical clinics? • Do you have any customer service or sales experience?
